Provided is an information processing apparatus that efficiently executes a series of tasks related to reading a document. An information processing system includes an upstream server, image forming apparatuses and a regional server. An apparatus-information-acquiring unit of the upstream server acquires apparatus information from plural image forming apparatuses. A task-sharing unit shares the respective tasks of a series of tasks for document data that is read by a specified image forming apparatus, based on a storage unit that is an apparatus-information-storage unit that stores an ID, position information that indicates a position in a network, and performance information for that image forming apparatuses that is included in the apparatus information. The task-sharing unit, in accordance with the ID and performance information of plural image forming apparatuses, determines and shares tasks so as to be executed by image forming apparatuses that are at nearby positions in the network.

Provided is a document-management server that controls the amount of change notifications sent to an administrator of an image-processing server in the case where metadata necessary for system cooperation is changed. A metadata-setting-receiving unit receives a change in the specific metadata. The processing-capacity-changing unit also changes the degree of processing capacity by changing a number of allocated execution units of a task-executing unit within a specified time.

Provided is a setting management system for managing the change status of setting information in an image forming apparatus during operation. Multiple image forming apparatuses start operating based on the same setting information in which operation setting values transmitted from a management server are reflected. Each of the image forming apparatuses receives changes in the setting information by multiple setting-receiving units during operation. In each of the setting-receiving units, a change-detecting unit detects that the setting information is changed. The setting-change status of setting information is correlated with the setting-receiving unit and transmitted by a change-status-transmitting unit. The management server receives the setting-change status from an image forming apparatus by a server-communication unit. As a result, a setting-management unit collectively manages histories of the setting changes of multiple image forming apparatuses based on the received setting-change status and the operation setting values.

The document-management server, in the case where there is an access request from a user for document data, allows access to the document data based on the security setting by not masking metadata for which there is access authority, and masking metadata for which there is no access authority.

If the license management server notified of expiration of an expiration date of the license defined by a contract, the maintenance unit stores history information acquired from the one or more image forming apparatuses corresponding to the expired license into a storage unit, and stops the service. If the license management server notified of grant of the license by a re-contract, the history management unit obtains the history information about the one or more image forming apparatuses corresponding to the granted license from the storage unit, and passes the obtained history information to the maintenance unit.
