A system reserves and provides a user with a personalized workspace. A workspace includes a workspace device. A panel includes a display. A docking station includes at least one power port and at least one data port connected to the workspace device. A portal controls operation and configuration of the workspace, docking station, and panel. The portal receives a user-initiated request to reserve the workspace for a predetermined period and specifying one or more workspace devices required by the user. The portal generates a 2D code, transmits the 2D code to the panel, and transmits information to a user device. The portal receives, from the user device, data generated by the user device from a scan of the 2D code on the display, and in response, checks in the user into the workspace, and activates and configures the docking station according to the user request.

System for reserving and configuring user-personalized workspace

Badge data is read by a local workspace access system associated with a local workspace. An organization associated with the badge data is located, and the badge data is transmitted to the organization. A server associated with the organization receives the badge data, locates a member of the organization associated with the badge data, and transmits the workspace configuration associated with the member. A keyable code is transmitted to a messaging service device of the member, and the keyable code and the workspace configuration are transmitted to the local workspace access system. Member input of the keyable code is received by the local workspace access system which verifies that the inputted keyable code matches the keyable code received. In response to the verification, the workspace configuration is requested and received, the local workspace is configured based on the received workspace configuration and is activated for use by the member.

Hot desk booking using user badge

A hot-desking system includes a hot-desking station, including a hot-desking station device, and a hot-desking panel configured to display information regarding status of the hot-desking station and a 2D code associated with the hot-desking station. A docking station associated with the at least one hot-desking station includes input and output ports connected to the hot-desking station device. A hot-desking portal controls operation of and configuration of the hot-desking station, the docking station, and the hot-desking panel.

A local workspace access system is associated with a local workspace, reads badge data, and transmits the badge data. A workspace personalization management system receives the badge data, locates an organization associated with the badge data, and transmits the badge data to its associated organization. A server associated with the organization receives the badge data, locates a member of the organization who is associated with the badge data, and transmits the workspace configuration associated with the member to the workspace personalization management system. The workspace personalization management system transmits a keyable code to a messaging service device of the member and transmits the keyable code and the workspace configuration associated with the member to the local workspace access system. The local workspace access system receives member input of the keyable code, and verifies that the inputted keyable code matches the keyable code received from the workspace personalization management system.
