The disclosed technology provides for sharing of collections between teams from external entities. The present technology allows administrators of an entity to manage what teams from their entity can be exposed outside of the entity and to manage how their entity is viewed by external partners. Sharing between teams provides benefits of easier sharing whereby it is not necessary to share a collection individually with all users of a team. It also provides a more logical sharing paradigm where collaboration is otherwise thought of between two partner entities and not specific employees of those entities. Sharing between teams allows an administrator to manage the user accounts associated with the team so that as team members come and go, all current team members will have access to projects in which the team is involved. Additionally, established teams can be configured to enjoy the full collaborative benefits of the content management system.

Sharing collections with external teams

The disclosed technology provides for creating and displaying referential gestures in a content item. In some instances many words may be required to clearly describe a point that can be made in few words by referencing visual media. The present technology provides a method for associating a referential gesture to a text string and a particular location in a visual media item.

Referential gestures within content items

A computer implemented methods to allow a user to copy content from a rendered document into a target document using a linking command. The target document can be a new document or an existing document, that is not rendered. The copied content can include a link to the document from which the content was copied from. The linking command can be a refer command or a send to file command. A refer command allows a user to copy and paste the content from a rendered document into a target document with text associated with the refer command remaining in the rendered document. A send to file command allows a user to copy and paste the content from a rendered document into a target document with no trace left in the rendered document.

Aggregating content from one or more documents

Anonymous comments and comment rooms can improve privacy and facilitate user activity in a collaboration content item system. Some embodiments may include a method for providing comment rooms for collaboration content items. Multiple users are associated with a comment room for a collaboration content item. Comments, annotations, or content updates to a collaboration content item performed within a comment room are visible only to the users associated with the comment room. The system can manage different versions of a collaboration content item, having different comments, annotations, or content for each comment room. A comment room may include anonymous comments. An anonymous comment for a collaboration content item is presented with a representation of an anonymous user, such as an anonymous avatar generated based on an anonymous user identifier of the anonymous user.

Comment management in shared documents

Anonymous comments and comment rooms can improve privacy and facilitate user activity in a collaboration content item system. Some embodiments include a method for anonymous comments that can include receiving a request to add an anonymous comment to a collaboration content item. The method can further include generating an anonymous user identifier for a user associated with the request. The method can further include inserting the anonymous comment in the collaboration content item with a representation of the anonymous user. The representation can include an anonymous avatar generated based on the anonymous user identifier. Some embodiments may include comment rooms for collaboration content items. Multiple users are associated with a comment room. Comments, annotations, or content updates to a collaboration content item performed within a comment room are visible only to the users associated with the comment room.

A method for sharing one file with many. To share a file, a template sharer selects a file in a shared folder to share as a template file and enters a template share command. In response to the entered command, a template file identifier is encoded and an email message is sent to recipients associated with the shared folder. The email message contains a link encoding the template file identifier. The email messages are sent to the recipients who can then access the link in the email message to retrieve their template instance file. Any modifications to a template instance file are saved. Each template instance file is saved in the collection folder. Thus, the template sharer has access to all of the template instance files.
